Managing Your Customers
Strawlo automatically builds a customer database from your orders. Every time someone buys from your store, they're added to your customer list with their contact details and purchase history.
To get started, click Customers in your sidebar menu.
Customer Dashboard
Your Customers page gives you a snapshot of your customer base.
Stats at a Glance
At the top of the page, you'll see four key metrics:
- Total Customers — Everyone who has ever ordered from your store
- New This Month — Customers who placed their first order this month
- Returning Customers — Customers who have come back for 2 or more orders
- Average Order Value — The average amount spent per order across all customers
These stats help you understand your customer base at a glance and track growth over time.
Customer List
Below the stats, you'll see all your customers listed with:
- Name and member since date
- Email and phone number
- Total orders placed
- Total amount spent
- Date of last order
- Status badge (New, Regular, or VIP)
On mobile, customers are displayed as cards. On desktop, they appear in a table format. The list shows 25 customers per page.
Customer Status Tiers
Strawlo automatically categorizes your customers based on how many paid orders they've placed:
| Status | Criteria | What It Means |
|---|---|---|
| New | 0–1 paid orders | First-time or one-time buyer |
| Regular | 2–4 paid orders | Repeat customer |
| VIP | 5+ paid orders | Loyal, high-value customer |
Status is calculated from paid orders only — pending or failed payments don't count.
Tip: Pay special attention to your VIP customers! They're your most loyal buyers and are worth nurturing with great service.
Search and Filters
Use the tools at the top of the page to find specific customers:
Search
Type a customer's name, email, or phone number to find them instantly. Results update as you type.
Filter by Status
Show only customers of a specific tier:
- All Customers
- New
- Regular
- VIP
Filter by Time Period
Narrow down your list by when customers first ordered:
- All Time
- This Year
- Last 30 Days
- Last Week
- This Week
- Today
Example: Filter by "VIP" + "This Year" to see your most loyal customers who started buying this year.
Customer Details
Click on any customer to see their full profile. The detail page has several sections:
Order History
A complete list of every order this customer has placed, showing:
- Order number (clickable — takes you to the order detail page)
- Payment status — Paid, Pending, Failed, or Refunded
- Fulfillment status — Pending, Unfulfilled, Dispatched, Delivered, or Cancelled
- Order total
- Date and time
- Number of items
This helps you see a customer's full purchase history at a glance.
Shipping Addresses
All delivery addresses this customer has used, along with how many times each address was used. This is helpful for:
- Understanding where your customers are located
- Identifying a customer's preferred delivery address
- Spotting address changes
Customer Info
The sidebar shows:
- Name with avatar
- Email address
- Phone number (if provided)
- Customer since date (when they placed their first order)
Customer Stats
Quick numbers showing:
- Total Orders — How many times they've ordered
- Total Spent — Their lifetime value to your store
Customer Notes
Add private notes to any customer profile. Notes are only visible to you — customers never see them.
Adding a Note
- Open a customer's detail page
- Scroll to the Customer Notes section
- Type your note in the text box
- Click Add Note
What to Use Notes For
- Special requests or preferences ("Always wants gift wrapping")
- Communication history ("Called about order #123 on March 5")
- Important details ("Wholesale buyer — offer 10% discount")
- Follow-up reminders ("Check back about bulk order next month")
Deleting a Note
Click the trash icon next to any note to remove it. Deleted notes cannot be recovered.
Contacting Customers
From the customer detail page, you can quickly reach out:
Send Email
Click Send Email to open your email app with the customer's address pre-filled. Great for follow-ups, promotions, or resolving issues.
Call Customer
Click Call Customer to dial their phone number directly. This button only appears if the customer has a phone number on file.
How Customers Are Added
You don't need to manually add customers — Strawlo does it automatically!
When a customer places an order on your store, their information is captured:
- Name from the checkout form
- Email from the checkout form
- Phone number from the checkout form
If the same customer orders again (using the same email), their existing profile is updated with the new order. This is how Strawlo tracks repeat customers and calculates lifetime value.
Quick Tips
1. Check Your Customers Weekly
Review your customer list regularly to spot trends. Are you getting more new customers? Are people coming back?
2. Nurture Your VIPs
VIP customers are your best asset. Consider reaching out personally to thank them or offer exclusive deals.
3. Use Notes as a Simple CRM
Customer notes turn your Strawlo dashboard into a basic CRM. Document important conversations and preferences so you never forget.
4. Follow Up with New Customers
A quick thank-you message after a first purchase can turn a one-time buyer into a repeat customer.
5. Monitor Average Order Value
If your average order value is increasing, you're doing something right. If it's dropping, consider bundling products or offering upsells.
Frequently Asked Questions
Can I add customers manually?
No, customers are added automatically when they place orders. This ensures all customer data is accurate and linked to real purchases.
Can I delete a customer?
Customer records are tied to their orders and cannot be deleted individually. This preserves your order history and reporting accuracy.
Can I export my customer list?
Currently, customer data is available on your dashboard. For export needs, you can export your orders (which include customer details) from the Orders page.
Why does a customer show as "New" even though they've ordered multiple times?
Customer status is based on paid orders only. If some orders have pending or failed payments, they won't count toward the status tier.
Can customers see the notes I write about them?
No. Customer notes are completely private and only visible to you (the store owner) on your dashboard.
What happens if a customer uses a different email for a new order?
They'll appear as a separate customer since Strawlo tracks customers by email address. There's no way to merge customer profiles at this time.
