Inventory and Stock Tracking

Keep track of what you have in stock so you never oversell or miss a sale. Strawlo automatically tracks your inventory and alerts you when stock is running low.

To view your inventory, click Inventory in your sidebar menu.


Inventory Dashboard

Your Inventory page gives you a complete overview of your stock levels.

Stats at a Glance

At the top, you'll see four key metrics:

  • Total Products — The total number of products in your store
  • In Stock — Products with more than 10 units available
  • Low Stock — Products with 1–10 units remaining
  • Out of Stock — Products with 0 units left

These numbers update automatically as orders come in and stock changes.

Product List

Below the stats, all your products are listed with:

  • Product image
  • Product name
  • Category
  • Price
  • Stock quantity
  • Status badge — color-coded for quick scanning

Stock Status Levels

Every product has a stock status based on its current quantity:

Status Stock Level Badge Color What It Means
In Stock More than 10 units Green You're well stocked
Low Stock 1–10 units Orange Time to reorder
Out of Stock 0 units Red Customers can't buy this product
Not Tracked Gray Inventory tracking is turned off for this product

How Stock Works

Automatic Stock Deduction

When a customer pays for an order, Strawlo automatically reduces the stock for each product in that order. You don't need to do anything — it happens instantly.

Example: If a customer buys 2 units of a t-shirt, your stock drops by 2 as soon as payment is confirmed.

Pay-on-Delivery Orders

For Pay-on-Delivery (POD) orders, stock is not deducted when the order is placed. Instead, stock is deducted only when you mark the order as Paid after collecting cash. This prevents stock being reserved for orders that might not be collected.

Setting Stock When Creating Products

When you create or edit a product, you set the initial stock level in the Stock field. Enter the number of units you have available.


Stock and Variants

If your product has variants (like sizes or colors), each variant has its own stock level.

Important Rule

The total stock across all variants must equal your main product stock.

Example: If your product stock is 50:

  • Small: 15 units
  • Medium: 20 units
  • Large: 15 units
  • Total: 50 ✓

Strawlo validates this for you:

  • Green indicator — Variant stock matches ✓
  • Red indicator — There's a mismatch. Adjust your variant quantities before saving.

When a customer orders a specific variant, only that variant's stock is deducted.


Low Stock Alerts

Strawlo keeps you informed when stock is running low so you can restock in time.

How Alerts Work

When any product's stock drops to 10 units or fewer, you'll receive alerts through multiple channels:

In-App Notifications

A notification appears on your dashboard immediately when stock drops to the low stock threshold. The notification includes the product name and remaining quantity. Click it to go directly to the product.

Push Notifications

If you use the Strawlo mobile app, you'll receive push notifications for low stock and out of stock events — even when you're not looking at the dashboard.

Email Alerts

Strawlo sends a daily email summary of products with low stock. This email runs automatically and includes all products at or below 10 units.

Note: Low stock emails are sent at most once per day per store, so you won't be overwhelmed with repeated alerts.

Out of Stock Notifications

When a product reaches 0 stock, you'll receive a separate out of stock notification. This is more urgent — the product is no longer available for purchase until you restock.

Managing Alert Preferences

You can turn email alerts on or off:

  1. Go to your Account Settings
  2. Find the Low Stock Alerts preference
  3. Toggle it on or off

In-app and push notifications are always active regardless of your email preference.


Searching and Filtering

Use the search bar at the top of the Inventory page to find products by name. This is helpful when you have many products and want to quickly check a specific item's stock level.

Products are displayed 25 per page with pagination for larger inventories.


Quick Tips

1. Check Your Inventory Regularly

Make it a habit to review your Inventory page at least once a week. This helps you spot trends and restock before you run out.

2. Pay Attention to Low Stock Alerts

When you see an orange "Low Stock" badge, it's time to think about restocking. Don't wait until you hit zero — customers don't like seeing "out of stock."

3. Keep Variant Stock Accurate

If you sell products with variants, make sure each variant's stock reflects what you actually have. Inaccurate variant stock leads to frustrated customers.

4. Use Stock Tracking for All Products

Unless you have unlimited supply of a product, keep inventory tracking turned on. It prevents overselling and helps you understand which products move fastest.

5. Restock Your Best Sellers First

When restocking, prioritize products that sell the most. Check your analytics to see which products are most popular.


Frequently Asked Questions

Does stock update automatically when I get an order?

Yes! For card payments (Paystack), stock is deducted instantly when payment is confirmed. For Pay-on-Delivery orders, stock is deducted when you mark the payment as received.

What happens when a product goes out of stock?

The product remains on your store but customers won't be able to add it to their cart. You'll receive a notification so you can restock.

Can I turn off inventory tracking for a product?

Yes. When creating or editing a product, you can disable stock tracking. The product will show as "Not Tracked" and customers can order unlimited quantities.

How do I restock a product?

Go to the product's edit page and update the Stock field with your new quantity. If the product has variants, update each variant's stock as well.

Will I get an alert for every product that's low on stock?

Yes, you'll get individual notifications for each product that drops to 10 units or fewer. The daily email summary groups all low stock products together.

Does cancelling an order restore the stock?

No, stock is not automatically restored when an order is cancelled. You'll need to manually update the product's stock if needed.
